The Senior HubSpot (and Automation) Specialist develops web-based programs used to automate the collection, transformation, and delivery of company data and information. He or she does this by means of automation of HubSpot processes (through macros) along with spreadsheet automation, upgrades, and maintenance. He/she will also be responsible for carrying out HubSpot-related tasks and assisting employees from all sides of the business with their concerns, especially with matters of troubleshooting, software updating, and the like. This role does have intermediate decision-making authority with the final approval of the General Manager, COO, and/or CEO.
At least 2 years of experience actively using HubSpot is required
Completed a college degree in any course
Thorough understanding of basic computer and IT concepts along with programming commands and troubleshooting.
Ability to independently manage multiple projects in different phases, at the same time.
Effective operations systems thinker and a good understanding of operational process knowledge
Excellent communication skills, both written and verbal. Works with a strong sense of urgency
Customer service-oriented attitude; role supports the Operations, Clients, and VAs
Listens and is open to feedback; able to course correct
Demonstrates a hands-on attitude and strong attention to detail
Cebu-based applicants are preferred
TASKS AND RESPONSIBILITIES
Acts as the main POC for all HubSpot concerns
Work with the management team to review, recommend and implement best practice CRM processes and procedures within HubSpot (creation of web pages, landing pages, emails, templates, forms, workflows, contacts, integration, and settings)
Oversee data integrity within HubSpot CRM through data import management, data cleanup and deduping
Builds, extracts, and manage dashboards, reports, layouts, process automation, and other configurable parts of the interface for end-users
Manage email campaigns, data, tickets, pipelines and workflows in HubSpot to drive engagement
Troubleshooting technical issues with HubSpot
Resolving network issues in HubSpot
Timely completion and submission of project updates and project outcomes.
Updated HubSpot tickets/requests in the applicable ticketing system or as needed by other officers.
Responsible to deliver process simplification, workflow, and automation services to the internal team, resolving issues and queries related to automation solutions
Works on Automation projects as needed:
Projects including but not limited to HubSpot Integration
Working within project planning constraints, communicating any identified project risks and issues to the project leader
Tracking the actual benefits from deployed automation solutions as well as tracking problem areas to offer possible solutions
Assists operations team members with any automation requests in their individual areas/department
Assist employees and operations team members in resolving problems arising out of the automation system created and its functions in a timely manner. Also conducts continuous monitoring of the system’s use and recommends changes when needed to maximize its use.
Comes up with a ticketing /priority setting system or tracker for automation requests received to ensure that this is properly and regularly updated on a daily basis to ensure visibility of tasks/projects accomplished, pending, delayed, or late
The IT and Automation Specialist should also make sure that he/she is updated and aware of new developments, technology, etc. to ensure he/she is able to provide and/or recommend needed changes and improvements
